About the Role

We are seeking a strategic Marketing Events Manager to join our marketing team. This role is integral to executing high-impact events  that build our brand presence, generate leads, and engage key audiences. You will work closely with the Head of Marketing to ensure seamless execution of approximately 30 events annually, including 1-2 virtual events, as well as the SandboxAQ presence at the World Economic Forum. This role will include managing our thought leadership program with external speaking engagements, working with our agency. In addition, this role is responsible for webcasts, videos and podcasts.

Core Responsibilities

  • Event Strategy & Ownership:
    • Develop and execute a marketing event strategy that supports SandboxAQ’s business priorities. Consult and lead conversations with leadership to ensure decisions are aligned with company goals and KPIs.
    • Identify, evaluate and secure all event sponsorships. Own contracting process for all sponsorships. 
    • Own events budget, tracking costs for each event and overall Marketing Events program. Responsible for all financial reporting and will advise leadership on go-forward budget requests. 
    • Responsible for companywide communication for upcoming events and post-event results and highlights.
    • Oversee agency for speaking engagement submissions, advising on speaker placement and ensuring deliverables are met.
    • Maintain a roster of internal and external speakers, understanding their expertise and externalized presence, coordinating speaker training as necessary. 
    • Maintain the master event calendar, Jira workflows, the marketing asset warehouse, and other organizational and tools.
  • Event Execution:
    • Own the end-to-end execution of all events. Responsibilities include: venue and vendor selection, F&B, AV, trade show orders, shipments for events, swag orders, vendor selection, obtaining COI, etc.
    • Own lead generation efforts for all events, maintaining accurate reporting and ROI, create Salesforce dashboards for each event.
    • Create detailed event brief for each event, and communicate with onsite teams prior to events. 
    • Manage all communications on events, including pre-event emails, social media language, and post-event followups. 
    • Oversee onsite and virtual event logistics to ensure smooth execution.
    • Venue and vendor sourcing, onboarding and management. 
    • Manage all marketing swag - development, ordering, fulfillment and inventory. 
    • Oversee marketing shipping - primarily for events but may receive ad hoc requests to fulfill.
  • WEF:
    • Support the Executive Office with SandboxAQ's presence at the World Economic Forum. 
    • Oversee our flagship lunch event, managing venue logistics (F&B, AV, setup, etc.), invites and registration, as well as post-event followups. 
    • May be tasked with other program support as needed, including hotel blocks, venue procurement and fabrication, video content development and vendor procurement. 
  • Virtual Events, Webcasts & Podcasts:
    • Manage 1-2 virtual events per year, including procurement of a virtual event platform. 
    • Support SandboxAQ’s Youtube channel by managing logistics for video conversations, including speaker procurement and preparation.
    • Manage logistics for webcasts hosted on platforms like On24, including speaker procurement and preparation, developing talking points and scripts
    • Develop strategy for SandboxAQ’s podcast presence, securing podcast sponsorships. 

Qualifications and Skills

  • This is a hybrid position, and candidates must live in the San Francisco Bay Area, with the ability to commute regularly to our office in Palo Alto. Relocation will not be provided. 
  • Must be able to travel up to 40% for onsite execution. 
  • Demonstrated business-forward mindset, able to develop a strategy and communicate to executive-level leadership. 
  • 8+ years of experience in marketing events, with a proven track record of managing large-scale events and delivering measurable results.
  • Experience with virtual event platforms such as On24, LinkedIn Live or similar tools.
  • Strong project management skills, with the ability to handle complex projects, tight deadlines, and competing priorities.
  • Bachelor’s degree in Marketing, Communications, Business, or a related field, or equivalent practical experience.

The US base salary range for this full-time position is expected to be $115k - $155k per year. Our salary ranges are determined by role and level. Within the range, individual pay is determined by factors including job-related skills, experience, and relevant education or training. This role may be eligible for annual discretionary bonuses and equity.
