Job Duties and Responsibilities
We are seeking a highly organized and results-driven Senior Project Manager to support the Senior Vice President (SVP) and broader leadership team. This key role involves a mix of project management, coordination, and operational support, ensuring seamless execution of strategic initiatives and effective communication across teams. The ideal candidate is an experienced multitasker who thrives in dynamic, fast-paced environments and is adept at managing complex programs and executive-level logistics.
Key Responsibilities:
- Meetings & Coordination
- Lead and facilitate regular staff meetings with direct reports, ensuring alignment on goals and deliverables
- Manage and coordinate SVP SteerCo meetings, ensuring all necessary materials are prepared and aligned
- Prepare and organize financial review materials for product and marketing updates, ensuring comprehensive data presentation
- Collaborate with the CEO's and Chairman's office to schedule and organize readouts, ensuring the timely submission of materials
- Coordinate RW business meetings, assist with content preparation (budget, initiatives, board meetings), and ensure smooth execution
- Collaborate with the CEO's office to facilitate PO approvals and other executive-level decisions
- Project & Task Management
- Assign and delegate projects and tasks to VPs and Directors, ensuring proper resource allocation and alignment with strategic goals
- Lead special projects for SVP, managing all aspects from planning through execution
- SVP Support & Preparation
- Prepare the SVP for vendor and media meetings, ensuring all necessary materials are compiled and reviewed
- Participate in executive interviews and develop executive books, providing feedback and recommendations
- Review and edit presentations to ensure alignment with strategic objectives and executive messaging
- Manage the SVP's calendar, travel, and expenses, ensuring efficient scheduling and cost-effective logistics
- Oversee purchase orders (POs) and marketing spend requests, preparing them for SVP approval
- Operations & Logistics
- Manage All Team Meetings (ATM) processes, ensuring effective tracking and follow-up
- Oversee SVP and department event participation, ensuring seamless logistics and coordination
- Manage office and department-related requests (seating, facilities, roundtables, etc.), ensuring proper resources are allocated
- Review and approve department expense requests, ensuring budget adherence and alignment with financial guidelines
Skills, Experience and Requirements
Education and Experience:
- Bachelor's degree or equivalent experience in Business Administration, Operations Management, or related field
- Advanced degree (MBA or similar) or certifications in project management
- 7+ years of experience in program management, executive support, or operations in a fast-paced environment
- Proven experience in managing complex projects, coordinating cross-functional teams, and supporting executive leadership
- Experience working in a senior leadership or executive office capacity
Skills and Qualifications:
- Familiarity with budgeting, financial reporting, and marketing operations
- Exceptional organizational and time management skills, with the ability to manage multiple priorities concurrently
- Strong communication skills, both written and verbal, with experience preparing presentations and executive-level communications
- Proficient in Microsoft Office Suite, including PowerPoint, Excel, and Word; experience with project management tools is a plus
- Strong problem-solving abilities and attention to detail, with a proactive approach to anticipating and addressing issues
- Ability to maintain confidentiality and act with integrity, professionalism, and tact

Salary Ranges
Compensation: $83,950.00/Year - $119,900.00/Year

The base pay range shown is a guideline. Individual total compensation will vary based on factors such as qualifications, skill level, and competencies; compensation is based on the role's location and is subject to change based on work location.
