Qualtrics is looking for an energetic individual to support our Chief Finance Officer and partner on business objectives. An ideal candidate would be someone who is an organized self-starter, who is also inventive and efficient. Being flexible and having a sense of humor while maintaining a high level of integrity and confidentiality is crucial to this role. You will have the intuition to react with appropriate urgency to emerging situations, be able to complete multiple high-priority tasks efficiently, and be comfortable to make decisions with minimal oversight or mentorship.

  • Proactive Anticipation: Anticipate the needs and priorities of the executives, proactively addressing them to streamline workflow and maximize productivity.
  • Effective Communication: Establish and maintain clear, open lines of communication with the executives and various stakeholders, ensuring all parties are well-informed and aligned.
  • Precision and Attention to Detail: Execute tasks with meticulous attention to detail and accuracy, ensuring all deliverables meet high standards and deadlines are consistently met.
  • Adaptability and Flexibility: Demonstrate flexibility in responding to evolving priorities and dynamic situations, adeptly adjusting plans and strategies as needed to support the executives effectively.
  • Confidentiality and Trustworthiness: Maintain strict confidentiality and handle sensitive information with discretion and professionalism, fostering trust and reliability in all interactions.
  • Relationship Building: Cultivate strong relationships with internal and external stakeholders, leveraging these connections to facilitate collaboration and achieve strategic objectives.

 

How You’ll Grow

  • You will work with our leaders on a daily basis and learn how the business is run.
  • Serve as an extension of your executive and represent them and our values to the rest of the company.
  • Look for and identify experience gaps and suggest areas for improvement for your exec’s org and for the company as a whole.
  • You’ll have the opportunity to take on projects that impact the company and work across departments to achieve outcomes

 

Things You’ll Do
  • Handle Sensitive Material & Maintain Confidentiality - you will be exposed to confidential and sensitive topics & materials in this role, so the highest level of integrity is a must. Must be able to keep things confidential to protect company information.
  • Travel and Logistics Expert - You will manage all travel and logistics associated with travel for your executive(s)
  • Calendar Management - You will own the schedule for your leaders by arranging meetings and ensuring that they are spending their time effectively on the priorities that matter. Help establish working rhythms that allow your departments & the company to function efficiently.
  • Administrative Assistant - The EA will help set and track agendas for given meetings, take notes and/or action items to document the decisions made in meetings, submit expenses monthly, and provide other administrative support as needed.

 

What We’re Looking For on Your Resume

  • Bachelor’s degree required
  • Past Executive Assistant experience is required (5+ years is ideal)
  • Preference for experience in a fast-paced, tech startup environment
  • Expert-level written and verbal communication skills
  • Strong problem-solving skills
  • Strong organizational skills with the ability to stay on top of and complete multiple tasks in a timely manner
  • Consistently produce work with the highest level of attention to detail
  • Consistently deliver high-quality professional customer service to internal and external customers with the ability to be personable and happy to help in a variety of situations
  • Visionary spirit: ability to think ahead and anticipate needs, work independently and accomplish tasks
  • Adaptive: tackle new tasks with little notice or instruction
  • Self-starter, taking initiative on new tasks with little guidance or oversight
  • Work collaboratively with all other executive assistants at headquarters and remote locations to maintain a smoothly working corporate environment
  • The utmost level of integrity and discretion in handling confidential information.

For full-time positions, this pay range is for base per year; however, base pay offered may vary depending on location, job-related knowledge, education, skills, and experience. A sign-on bonus and restricted stock units may be included in an employment offer, in addition to a range of medical, financial, and other benefits, based on eligibility criteria.
