As a key partner to hiring managers, administrative staff, and operational leaders, you will drive full-cycle recruitment efforts, cultivate passive candidates, and streamline hiring processes while maintaining flexibility for the unique needs of each team. If you thrive in a decentralized environment, enjoy working across multiple teams, and want to build a long-term career in AEC recruiting, we’d love to hear from you!

What You’ll Be Doing:

Recruiting & Sourcing:

  • Develop and execute recruitment strategies that align with the needs of multiple independently operating teams while ensuring an effective and efficient hiring process.
  • Source and engage passive candidates using LinkedIn Recruiter, SmartRecruiters, and other talent acquisition tools.
  • Cultivate and maintain a pipeline of top-tier talent for current and future hiring needs, proactively anticipating workforce needs across different offices.

Strategic Partnership & Collaboration:

  • Partner with teams that operate independently, providing guidance while adjusting to their specific recruiting preferences and operational requirements.
  • Work closely with administrative and operational staff to coordinate hiring logistics, ensure compliance, and improve overall efficiency.
  • Manage multiple concurrent hiring processes, ensuring smooth coordination while adapting to each team’s expectations and candidate experience priorities.
  • Act as a strategic advisor, offering best practices and process recommendations while empowering teams to tailor recruitment to their specific needs.
  • Ensure a balance between a structured and flexible candidate experience, adapting to the varied hiring approaches across KPFF’s decentralized environment.
  • Work alongside other Talent Acquisition Specialists to share best practices, exchange ideas, and refine recruitment strategies to better support hiring managers and candidates.
  • Collaborate on process improvements, leveraging data and feedback to enhance efficiency, candidate engagement, and overall hiring success across different teams.

Candidate & Hiring Manager Experience:

  • Guide candidates and hiring managers through a seamless recruitment process, from initial engagement to offer acceptance.
  • Manage job postings and applicant flow in SmartRecruiters, ensuring efficient and engaging candidate experience.
  • Facilitate interviews, feedback collection, and reference checks, maintaining transparency and alignment with each office’s hiring needs.

Qualifications

  • 3–5 years of full-cycle recruiting experience, preferably in the AEC industry or professional services.
  • Expertise in sourcing passive candidates using LinkedIn Recruiter, Boolean search, and ATS/CRM databases.
  • Proficient in Applicant Tracking Systems (SmartRecruiters preferred) for job postings, candidate management, and reporting.
  • Ability to analyze recruitment metrics to track sourcing effectiveness and improve hiring strategies.
  • Strong collaboration skills, working with hiring managers, administrative teams, and operational leaders.
  • Highly organized, able to manage multiple hiring processes while maintaining attention to detail.
  • Excellent written and verbal communication, with the ability to craft outreach and facilitate interviews.
  • Experience in decentralized environments, adapting to varying hiring processes and decision-making structures.
  • Tech-savvy and adaptable, comfortable with recruitment tools, social media, and job boards.
  • Growth-minded recruiter who thrives in dynamic environments and enjoys cross-team collaboration.

Work Environment & Flexibility: This role is fully remote, with preference for candidates based in Pacific or Mountain Time Zones to align with the working hours of our west coast offices. Occasional travel may be required for team meetings and office visits to strengthen partnerships and support hiring managers across multiple locations.
