Persons in these roles are expected to work from our offices in Seattle. Our base salary range is $79,200 - $118,800, and in addition we have generous bonus plans to provide a competitive compensation package. 

Who You Are:

The Executive Assistant will support our  Research team leads and  is a unique role within Ai2’s org structure. This role will encompass Executive Assistant responsibilities. Reporting to a cross-functional team of three Research Directors, this role provides support and continuity allowing leads to focus on other core duties.

Your Next Challenge:

The essential functions include, but are not limited to the following:

  • Provide executive support to multiple technical research leads across Ai2.
  • Schedule and manage: team meetings/agendas, reading groups, invited speakers, resource bookings,  intern proposals and timelines, etc. 
  • Meetings, events, and travel organization and support
  • Gatekeep on behalf of multiple executives with competing priorities.
  • Partner with  other EAs to adopt best practices across the organization to break down silos.
  • Plan team events (e.g., offsites, social gatherings, etc.)
  • Manage directors calendars, as needed, including university calendars for leads who are professors.
  • Expense reporting, reimbursements
  • Organization of administrative documents
  • Correspondence and letter writing/submission support
  • Oversee the job application review process and recommend improvements, as needed

  • Demonstrated ability working in a cross-organizational capacity
  • Strong organizational skills with impeccable attention to detail
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and meet deadlines
  • Superior time management skills and ability to keep others on task
  • Availability after hours will be sometimes be expected
  • Full time in office role
  • Strong problem-solving skills and ability to work independently
  • Proficiency with project management tools and software 

Education/experience

  • Bachelor’s Degree or relevant experience.
  • At least five years of experience supporting high-level executives in a fast-paced environment
