Job Description

ABOUT THE ROLE:

As a Project Coordinator at KPFF, your primary focus will be to support Project Manager(s) and the Operations team to successfully deliver projects. Responsibilities will include:

Project Coordination:

  •  Manage administrative project setup in our accounting system.
  •  Monitor contract expenditures, report variances, and actively participate in project budget development.
  • Prepare subconsultant agreements and task orders.
  • Review, process, and monitor proposed contract changes and change orders.
  • Ensure clear and effective communication with internal and external stakeholders regarding project inquiries or department procedures/requirements.
  • Reinforce quality procedures for contract documents and financial reporting. Work with team members to ensure compliance with contract requirements[RC1] .
  • Maintain accurate and organized project files throughout the entire lifecycle. Establish efficient filing systems and execute file retention policy.
  • Attend and document project meetings.
  • Book travel arrangements for team members.
  • Coordinate office events, staff meetings, and engineering intern opportunities.
  • Provide project managers with monthly project and contract reporting.
  • Assist in the invoicing process , supporting the Accounting Manager.
  •  Process vendor invoices in accounting system.
  • Manage workload efficiently to prioritize tasks and meet deadlines for project milestones.

Qualifications

ABOUT YOU:

  • Effective communication skills, both verbal and written
  • Proactively anticipate needs of Project Managers and design teams
  • Critical thinking and decision-making skills
  • Humility in learning and a hunger for professional development
  • Strong organizational skills with the ability to handle concurrent tasks and meet deadlines.
  • Effective prioritization and strong time management skills.
  • Prior experience in Oracle, NetSuite, or BST preferred.
  • Prior experience in the AEC work environment preferred. 
  • Bachelor’s or Associate’s degree preferred
  • Proficiency in Microsoft Office Suite, Bluebeam and/or Adobe Acrobat.
