Elevate Your Career at Iron Mountain 

We’re looking for an experienced, proactive, and detail-oriented Executive Assistant to support two influential leaders—the VP of Operations, North America and the VP of Global Remarketing in our ALM division. This role offers a unique opportunity to make a direct impact on senior leadership’s success while being at the heart of a dynamic and fast-moving organization.

As the right hand to these key executives, you’ll be responsible for seamlessly managing their busy calendars, organizing complex travel logistics, and ensuring smooth operations across all aspects of their day-to-day. You’ll also play a critical role in drafting and managing communications, overseeing expense reports, coordinating offsite events, and taking on special projects that require a mix of creativity and precision.

To thrive in this role, you’ll need to work with independence and urgency, demonstrating excellent judgment, impeccable communication skills, and the ability to juggle multiple priorities. Your ability to navigate high-stakes situations with poise and professionalism will be key, as you’ll be interfacing with senior executives internally and with important business partners externally.

Responsibilities:

  • Calendar & Meeting Management: Coordinate and schedule meetings, appointments, and offsite events, ensuring seamless logistics, including travel, room bookings, catering, and audio-visual requirements.
  • Communication & Correspondence: Draft and manage emails, letters, memos, and reports. Respond to internal and external communications with professionalism and poise.
  • Travel & Expense Coordination: Arrange travel for executives, including flights, accommodations, and itineraries. Manage expense reports and track spending.
  • Executive Support & Special Projects: Provide administrative support to senior leadership, including managing workflow, special reports, and project coordination.
  • Cross-Functional Interaction: Interface with senior management, staff, and external vendors, ensuring a positive impression of the firm and supporting effective communication across all levels.
  • Document & Data Management: Prepare and organize reports, presentations, and data, ensuring accuracy and timely follow-up on action items.

Requirements:

  • Education & Experience: College degree or equivalent with 3-5 years of relevant administrative experience, including strong problem-solving skills.
  • Organizational & Leadership Skills: Exceptional attention to detail with the ability to lead, prioritize, and manage multiple tasks effectively.
  • Technical Proficiency: Advanced skills in Google suite, MS Office (Outlook, Word, PowerPoint, Excel) and other web tools.
  • Communication & Relationship Building: Strong verbal and written communication skills, with the ability to resolve conflicts and foster positive relationships.
  • Confidentiality & Judgment: Experience handling confidential information and exercising discretion and sound judgment in decision-making.
  • Self-Motivation & Work Ethic: Highly motivated, proactive, and able to work independently with a sense of urgency, maintaining a high energy level and strong work ethic.

Iron Mountain’s Asset Lifecycle Management (ALM) business is responsible for the deployment, management, and ultimate decommissioning and disposition of technology assets. These include hard drives, servers, laptops, tablets, and network devices that contain customer or organizational data that needs utmost safeguarding when they reach their end of useful life.

In the process, ALM takes IT assets to sanitize, clean, and remove the data and recycle or repurpose in a sustainable and environmentally sound way.
