Job Description

SUMMARY

As the first point of contact for visitors to our Corporate Campus, you will welcome and greet guests warmly, ensuring that they receive top-notch, efficient customer service with a smile. You will be responsible for providing general administrative support including a variety of clerical activities and related tasks, executing these tasks to the highest quality standards. In addition to this, you will be responsible for preparing the boardroom, training, and conference rooms as needed. This includes ensuring rooms are stocked with food and beverages upon request for executive-level meetings and providing first-level technical support for A/V systems throughout the conference rooms and our training center. This role will also handle Spend Life Wisely related communication, tasks, events, and projects upon request.

MAJOR DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS)

  • Greet and welcome guests upon their arrival with a positive and helpful attitude.
  • Conduct tours of the Corporate Campus for guests and new employees to educate them about our facilities and the company as needed.
  • Check in/out any visitors, as well as direct them to the appropriate person or office and announce guests as needed.
  • Ensure common spaces are tidy and presentable, with all necessary stationery and materials (pens, forms, brochures, bottled water, etc.).
  • Provide basic and accurate information in person and via phone/email.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Manage, prepare, and sort incoming and outgoing executive mail.
  • Communicate with maintenance and cleaning crews to ensure the corporate building is well-maintained.
  • Manage inventory of the executive supply room and reorder supplies when necessary.
  • Manage the second floor gathering spaces (interior and exterior) and meeting rooms regarding table configuration and connectivity. Prepare meeting and training rooms at the direction of leadership and troubleshoot technical issues when required.
  • Update the Corporate Meeting Calendar and schedule meetings in Corporate Campus conference spaces upon request.
  • Assist colleagues with administrative tasks and recurring or special projects as assigned.
  • Will be required to run errands upon request or as needed (e.g., picking up food or supply orders). 
  • Develop, coordinate, and host employee engagement events and opportunities for employees to engage in the areas of faith, financial well-being, health, and personal growth (in café, training centers, onsite gym, etc.)
  • Management of location-specific communications, including content creation for Corporate Campus televisions and events.
  • Engagement in a variety of Corporate events and committees including Annual Stakeholder Meeting, Love & Impact Council, United Acts of Kindness, etc.
  • Partner with leaders and SpendLifeWisely ambassadors to drive employee engagement.

ADDITIONAL DUTIES AND RESPONSIBILITIES

  • Adherence to all First United Policies and Procedures
  • Dresses professionally
  • Complete all required compliance exams on an annual basis
  • Performs other duties as assigned

Required Education and Work Experience

  • High school diploma or equivalent required.  College degree preferred.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.

Knowledge and Skills Requirements

  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment, including A/V systems such as Webex
  • Professional, pleasant attitude and appearance with excellent interpersonal skills
  • Exceptional written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Exemplary customer service attitude with an ability to be anticipatory of others’ needs
  • High level of professionalism with the ability to handle confidential and highly sensitive information with discretion
  • Multi-tasking, able to prioritize tasks and pivot where needed with judgment to escalate issues when needed, with a sense of urgency and ability to stay calm under pressure
  • Must have a valid state driver’s license to be considered for this role.

Physical Working Conditions

This is somewhat sedentary work that requires the following physical activities:

  • Sitting or standing for long periods, walking, finger dexterity, feeling, repetitive motions, talking hearing, and visual acuity including close vision.
  • Occasional lifting (up to 10 pounds of computer equipment or paper).
  • May be required occasionally to stoop or kneel.
  • Accommodation may be made for some of these physical demands for otherwise qualified individuals who require and request such accommodation.
